Click Generate Proposal. AI creates a full proposal and, if you uploaded an RFP, generates answers with confidence scores.

Creating Your Account
One-time setup to start generating proposals
1Sign Up
Go to the Sign Up page and enter:
Your professional email
At least 8 characters, with uppercase, lowercase, number, and special character
You may need to verify your email before proceeding.
2Set Up Your Workspace
After signing up, you'll enter your company or agency name. This name appears on your proposals and dashboard.
From there, you can either:

Enter your email and password on the Log In page. Your session stays active for 24 hours. Forgot your password? Click Forgot password to receive a reset link by email.
Creating Your First Proposal
Fill the form, upload briefs, and generate
Step 1: Choose Your Services
Select one or more services you'll provide. These shape the proposal structure and content.
Step 2: Fill In Client Details
Your company or business name
Who you're writing this proposal for
e.g. Healthcare, E-commerce, SaaS
A sentence about their business and goals
Describe the project scope and requirements
Tip: If you upload a client brief (PDF or Word doc), the client fields become optional — the AI extracts context from your document.
Step 3: Upload Client Briefs (Optional)
If your client sent you documents — RFPs, briefs, requirements — upload them to give the AI richer context.

How to upload

Files are processed locally in your browser. Text is extracted and sent to AI — the original file is not stored on any server.
Step 4: Generate Your Proposal
- 1.Review your inputs — check everything looks right
- 2.Click Generate Proposal at the bottom of the form
- 3.Wait while the AI creates your proposal (typically 15–30 seconds)
- 4.You're redirected to your new proposal automatically
The proposal is saved to your workspace. You can access it anytime from your dashboard.
Editing Your Proposal
Click any section to edit it directly in the browser
MyPitchFlow includes a built-in rich text editor so you can fine-tune your proposal without leaving the app. Every section is editable — click on any paragraph, heading, or list to open the editor.
Click-to-Edit Sections
Click anywhere in a proposal section to open the editor. A formatting toolbar appears when you select text, giving you quick access to:

Structure your sections
Organize deliverables and steps
Press Escape or click outside to save your changes. The proposal updates instantly.
Copy Actions
Hover over any section to reveal quick-action buttons in the top-right corner:
Copies that section’s markdown to your clipboard
Copies the entire proposal (button at the top of the content area)
Useful for pasting into emails, Google Docs, or other tools.
Adding & Removing Sections
Hover between any two sections to reveal an Add section divider. Click it to insert a new blank section and start editing immediately. If you cancel without typing, the empty section is automatically removed.
Drag & Drop Source Files
On the proposal form, you can drag and drop RFPs or briefs anywhere on the page. The AI extracts context from your document to pre-fill form fields. A hint banner at the top of the form reminds you of this shortcut. If you don’t have a document handy, click Try the demo in the banner instead.
Editing in Demo Mode
Visitors on the landing page can also edit the demo proposal — the same click-to-edit experience is available without an account. The Word download exports whatever you’ve edited. AI-powered features like Refine with AI require a free account.
Proposal Versioning
Three ways to create new versions of a proposal
Once you have a proposal, you can iterate on it. Every new version is tracked (V1, V2, V3...) and you can switch between them using the version history dropdown.
Refine This Version
Best for: Small tweaks — adjust tone, add a section, change pricing structure.
Describe what should change in plain language. The AI takes your current proposal and evolves it, keeping the existing structure and services intact.
"Make the executive summary shorter and more punchy. Add a section about our previous work with healthcare clients. Lower the pricing by 15%."

Start Fresh
Best for: Major changes — different services, new direction, completely different approach.
Client details are inherited, but you can change the services selection and add new requirements or upload additional briefs. The AI generates a brand-new proposal from scratch.

Best for: You edited the proposal externally (in Word, Google Docs, etc.) and want to bring it back in.
Upload a .docx or .md file. The text is extracted and saved as a new version, preserving your manual edits in the version history.

Upload your RFP
When creating a proposal, upload an Excel or CSV file containing the RFP questionnaire. The system detects the structure automatically.
Review the analysis
MyPitchFlow identifies question columns, answer columns, categories, and any existing answers. You can adjust the column mapping if needed.
Generate answers
AI generates answers for all questions, grounded in your knowledge center. Each answer includes a confidence score (0-100).
Review and approve
Use the Questionnaire tab to review answers. Edit, approve, or flag answers that need attention. Use Review Mode for keyboard-driven efficiency.
Export

The Questionnaire tab provides a full spreadsheet editor for managing RFP questions and AI-generated answers.

Click any cell to edit. Changes save automatically.
Color-coded badges show answer quality: green (85%+), amber (70-84%), red (<70%).
Hover over confidence scores to see why the AI rated an answer the way it did.
Filter questions by category to focus on specific sections.
When you edit an AI answer, the system records the correction. Future generations learn from your edits.
Regenerate all answers or regenerate specific questions. Warning: regenerating overwrites manual edits.

Review & Validation Mode
Keyboard-driven review for fast approval of questionnaire answers
Review Mode lets you quickly step through all questionnaire answers using keyboard shortcuts. It uses a two-level navigation system: row-level for fast approval, cell-level for detailed editing.

When you enter Review Mode, the first row is highlighted. At row level:

Press Tab from row mode to enter cell-level navigation:
On the last cell in a row, pressing Tab advances to the next row (back to row mode).
Tip: Review Mode is designed for high-volume RFP review. Use Enter to approve rows quickly, only dropping into cell mode (Tab) when you need to inspect or edit specific answers.
Knowledge Center

The Knowledge Center is a collection of your company's documents that the AI uses to generate more accurate, grounded answers for RFPs and proposals.

The AI Assistant lives in the chat panel at the bottom-right of your screen. It can help with everything from generating proposals to reviewing questionnaire answers.
What It Can Do
Describe your client and needs — the AI creates a full proposal conversationally.
While viewing a proposal, ask for changes: "make it shorter", "add a timeline", "change the tone".
Ask about specific answers, check accuracy, or request improvements to RFP responses.
Say "fix the answer to question 5" and the AI edits it in the questionnaire.
Get advice on positioning, differentiators, and competitive framing.
Ask how any feature works — the AI looks up the documentation automatically.
Say "mark this as sent" or "we won this deal" to update proposal status.

Your Dashboard
Your workspace for managing all proposals
The dashboard is your home base. Every proposal you create is automatically saved here, organized with the most recent first.
Finding Proposals
Type in the search bar to filter by proposal title, client name, or project details. Results update as you type.
Status Filters
Click the filter pills to show proposals by status:
Sorting Columns
Click any column header (Title, Client, Status, Updated) to sort your proposals. Click again to reverse the sort direction. An arrow indicator shows the current sort column and direction.
Proposal Actions
Each row shows the proposal title, client name, version number, status, and last update date. You can:
Click the row to view the full proposal
Click the status badge to update it
Download as Word directly from the actions menu
Remove with a 5-second undo window
Upload an Existing Proposal
Use the Upload button next to "New Proposal" to import an existing document (Word or PDF) as a proposal in your workspace.
Create a new proposal using the button in the top-right corner, or press N on your keyboard.

The Toolbar
At the top of every proposal you'll find a toolbar with:
Back button — Return to your dashboard (or press Escape)
Pencil icon + Title — Click the pencil to rename your proposal. Press Enter to save, Escape to cancel.
Version badge — Shows which version you're viewing (V1, V2, etc.)
Status selector — Click to change status: Draft, Sent, Won, or Lost
Download button — Download as Word (.docx)
More menu (⋯) — Refine, Start Fresh, Upload Version, Download Markdown, or Delete
Table of Contents
A floating button appears on the right side of your screen. Hover or click it to see all sections of the proposal. Click any section heading to scroll directly to it.
Managing Status
Track where each proposal stands in your pipeline:

You can change the status from the proposal view or directly from the dashboard.
Deleting a Proposal
A confirmation dialog appears first. After confirming, you have 5 seconds to undo via a toast notification at the bottom of the screen. After 5 seconds, the proposal and all its versions are permanently removed.
